ADA Tech Copilot

A phone-first assistant that works alongside DocuTrack. It gives ADA dealer technicians step-by-step repair answers from ADA's own documents, with every step citing the page it came from.

Length: 30 minutes
Goal: agree why, what and how, and what we need to start

Why we're here

4 min

The problem today

  • When a lift or ramp fails, technicians dig through long OEM PDF manuals, call OEM support, or ask a senior tech.
  • The answer depends on who you ask, and calls and waiting slow the job down.
  • Customers depend on these vehicles every day, so a wrong answer is a safety and liability risk.

The value if we solve it

  • Trusted, step-by-step answers in seconds, each one traceable to the manual page.
  • The same answer in every shop across ADA's 240+ member locations.
  • Experienced technicians spend less time answering repeat questions.
  • A working AI tool ADA can show its members at NMEDA.

Questions for ADA

  1. Has anything changed since the board presentation on October 8?
  2. What does a good day and a bad day look like for your technicians?
  3. What is the single thing that, if we fix it, makes the biggest difference?
03

What we'll build in Phase 1

4 min
DeliverableDescription
Phone-first web appOpens in the browser and can be added to the home screen on phones and shop tablets. No app store install.
DocuTrack sign-inOpen the app from a DocuTrack job, or sign in with DocuTrack. No new passwords.
ProfileName, role, dealership and location from DocuTrack. Sign out.
Dealer and location groupingEach technician is linked to their dealer and location through their DocuTrack login. Only technicians and ADA admins sign in. ADA can turn a dealer or location on or off. A technician only sees their own dealership's data.
Open jobsThe home screen shows the technician's open DocuTrack jobs.
Job pageVehicle, equipment, the customer's concern and the QAP photo checklist. Start with the concern in one tap.
Install photos"What good looks like" photos and past installs of the same part, from the technician's own shop.
Ask by voice, text or photoTalk or type, and attach up to 4 photos.
Cited answersStep-by-step answers for OEM repair procedures and QAP rules. Every step shows the document and page. Answers know the job's vehicle and equipment. Checked procedures are shown word for word. Safety warnings and the OEM support line appear where they apply.
Document libraryADA uploads manuals, service bulletins and QAP rules. Answers come only from these.
ADA admin screenUpload and manage documents, see usage by dealer and location, turn a dealer or location on or off.
Trust rules If the documents don't cover a question, the app says "I can't answer that reliably" and shows the closest pages and that manufacturer's support number. It never helps bypass a safety interlock or safety switch.

Phase 2 (in scope, after Phase 1)

  • Capture a fix by voice
  • Share a fix with ADA or keep it in the dealership
  • Member fixes in answers
  • "Did that work?" follow-up

Not in scope

  • Fit guide for sales
  • Native iOS or Android apps
  • Writing back to DocuTrack
  • More roles (sales, general managers)
  • Dealer platform tie-in
  • Live camera (likely Phase 2)
  • Photos shared by other dealers
  • Dealer-level admin
  • Offline answers
  • Languages other than English

DocuTrack integration

5 min

Tech Copilot works alongside DocuTrack. Short demo in the prototype (password: ADA), then the decisions we need.

Two ways in

  • Tap a Tech Copilot button on a DocuTrack job. The app opens on that job, with no password.
  • Or open the app and tap "Continue with DocuTrack". Password resets stay in DocuTrack.

What we read from DocuTrack (read only)

  • The technician's profile: name, role, dealership and location.
  • Their open jobs, and each job's vehicle, equipment, service concern and QAP photo checklist.
  • Install photos from their own shop.
  • Nothing is written back to DocuTrack. No customer names, contact details, funding or prices are read.

Keeping dealers separate

  • Each technician only ever sees their own dealership's jobs and photos.

Decisions for ADA

  1. Open jobs: when a technician opens the app, should they see only the jobs assigned to them, or all open jobs at their location? Do your dealers assign jobs to specific technicians in DocuTrack today? This also depends on whether DocuTrack records job assignments, which SpringFin will confirm.
  2. Roles: technicians only in Phase 1, or service managers too?
  3. Customer details: What customer or health details do technicians already enter in DocuTrack, and are there rules for that today?

From SpringFin

What we're asking for:

  • Sign-on with OAuth using PKCE.
  • Read-only access to profile, open jobs, job details and install photos.
  • A staging environment with test dealers and technicians.
  • The data field list.

Questions for SpringFin:

  • Does DocuTrack support refresh tokens?
  • Can sign-on skip the login form when a technician is already signed in to DocuTrack?
  • Can photo links be signed and expire?

Details may change based on SpringFin's answers to our open questions.

How we'll work

3 min

What to expect from us, step by step. Dates for each step will be confirmed together.

  1. KickoffToday. Agree goals, scope and what we need to start.
  2. Scope confirmedWe share the Phase 1 scope document for ADA's sign-off before the build starts.
  3. Build in sprintsRegular check-ins where you can see and try what we've built so far.
  4. Pilot with real techniciansSelected dealers test the app on real jobs. We fix what they find.
  5. Demo-readyThe app is final and the demo plan is agreed with ADA.
  6. NMEDA demoThe app is shown at NMEDA.
06

Success and KPIs

3 min

What does success look like?

  1. If we deliver Phase 1 for NMEDA, what would need to be true for ADA's leadership to say it was worth it?
  2. What would make this a failure, even if we shipped everything on time?
  3. What does a successful demo to your members look like?

What we need from ADA

6 min
ItemDescription
Phase 1 documentsAs many OEM manuals and service bulletins as possible, plus the latest QAP rules, and confirmation we can use them in the app. Which are ready for launch, and who approves new ones?
Document qualityDigital PDFs rather than scans where possible.
OEM support numbersThe support number for each manufacturer.
Test questions30–50 real technician questions with correct answers, plus unsafe or bypass questions technicians actually ask.
ReviewerOne ADA person to check answer quality during testing.
Pilot dealersCan you confirm that Ron's and Nicole's dealerships will be the pilot dealers?
BrandingPlease share ADA's new brand guidelines.
Suggestion: one shared Google Drive folder for this engagement, where all documents, samples and test questions live. It keeps handoffs clean and avoids version confusion. We're happy to set it up.
08

Collaboration and next steps

3 min

Roles

  • ADA: shares documents and access, takes part in testing and gives feedback, and names points of contact for documents, sign-in and approvals.
  • CoPilot: builds and tests the app, runs the check-ins, and keeps ADA updated on progress and risks.
  • Communication: email, plus regular check-ins.

Regular check-ins

How often should we meet, and which day and time work best? We'd suggest a Tuesday, Wednesday or Thursday slot.

Next steps

  • ADAShare the Phase 1 documents and OEM support numbers.
  • ADAConfirm points of contact for documents, feedback and approvals.
  • CoPilotSet up the shared folder and send check-in invites.
  • CoPilotShare our questions with SpringFin after our review.
  • CoPilotSend the Phase 1 scope document for sign-off.
